SAMSI Working Groups

Formation:
• Working groups are formed on the last day of the Opening Workshop.
• Web Master(s) and Leader(s) will be assigned to each working group.
• The meeting schedule will be announced following the Opening Workshop.
• SAMSI’s Room 203 is the official working group meeting room.
• A SAMSI email alias will be established for all communications with the group
• Requests for additional participants should be sent to Sue McDonald at [email protected]

How to Schedule a WebEx Meeting

1. https://samsi.webex.com

2. Click on host a meeting

3. Username (case sensitive): Terri

4
. Password: **you will be told the password**

5. Click on schedule a meeting

6. Topic: "Working Group Name" Meeting

7. Password: **you will be told the password**

8. Confirm password

9. Specify date, time, and duration of meeting

10. Attendees: use working group email alias and/or individual email addresses separated by a comma or semi-colon

11. Audio options: enter the teleconference number 919-685-9338, pass code, and/or other instructions for the meeting

12. Deselect "Send a copy of the invitation email to me"

13. If you would like to schedule your meeting weeks in advance, click on Advanced Scheduler. From the menu bar on the right...click on Date & Time. Choose Recurrence: Weekly. Enter Ending Date or Click After (enter number) Meetings. Remember if you make any changes to the meeting schedule you must re-enter all meeting information.

14. Click Schedule Meeting

15. Click OK

16. Then Log Out

 

How To Host A WebEx Meeting

1. 5 minutes prior to the start of the meeting, insure that the computer (under the cabinet) is on, and turn on the projector via the touchpad (desktop).

2. If required, insert memory stick into the USB port under the cabinet and open any files that will be shared during the meeting. Please do not reconfigure any of the equipment!

3. Dial the conference phone number on the touch pad 685-9338 (the ringing will stop once another person has called in). You may dial the 9338 to stop the ringing.

4. Click on the internet icon on the desktop: https://samsi.webex.com

5. Click on host a meeting

6. Username (case sensitive): Terri

7. Password: **you will be told the password**

8. Click on my meeting

9. Click respective meeting name

10. Click “Start Now

11. Click “Ok

12. To change host, click on the attendee name and click on Make Presenter. All control of the meeting will switch to the remote host until you make yourself the host again.

13. Click on share at top of the computer screen

14. Choose Desktop

15. To END the meeting, click on “File

16. Then End meeting

17. Then Yes


18. Then Close


19. Finally, Log out

20. Place the remote back on the cradle

 

Remote Participants to WebEx Meetings at SAMSI

1. It is necessary to separately call into the given conference-line phone number to obtain audio interaction; we are not able to use WebEx for an audio connection. When calling in:
       - do not use a computer microphone or a speaker phone; this causes severe feedback
in the system;
       - headphones and hand-held phones are fine.

2. If cost of telephone calls is an issue, consider using either Skype or JaJah to place your calls to the conference line; these are virtually free within North America, and (for example) only cost roughly 2 cents and 3 cents per minute, respectively, from Europe.
